Registration for Climb 2020 Volunteers is now open!
This multifaceted event seeks individuals with varying skill sets and experience. With only a half-day commitment and relaxed atmosphere, come out, meet new friends, and join the fun!
VOLUNTEER ROLES
eLEVATOR GREETER
Job Description:  Your responsibility is to congratulate and direct participants back to the ballroom via the escalators and taking their timing watches. The participants would have just finished their 48 storey climb, so celebrate and give them a high five if you wish!  
 
Duties:
  • You will be stationed at the bottom of the elevators in the lobby. Stand beside the elevator at all times. 
  • Greet participants after they exit the elevator upon completing the Climb and congratulate them on their awesome work! 
  • Take the participant’s timers and place them in the bucket provided (you will be given plastic gloves to wear) Make sure to take all timing chips - We pay $40 for everyone that is not returned! 
  • If a participant expresses interest in climbing again, take their timing device, and tell them to go to the drop-in line at registration and get another timing chip. They will need a new chip to record another time. 
  • Redirect participants back to the ballroom 
  • Do not let anyone enter the allocated Climb elevator from the lobby. No family members, volunteers or members of the public can go up to the top floor. 
  • Media and Staff are the only exception   
eVENT gREETER
Job Description:  You will be responsible for greeting all guests and directing them to the ballroom where the event will take place. You will be their first point-of-contact, so be the helpful and welcoming person that you are!  
 
Duties:
  • Greeters will be stationed at either the driveway/walkway of the North Tower by the hotel entrance or at the top of the escalator 
  • If you are situated at the driveway/walkway - direct climb participants inside the hotel towards the escalator where another volunteer will be stationed 
  • If you are situated at the escalator – direct participants to the Registration area and volunteers to Volunteer Check-in.
  • Everyone who has completed the climb will also come back through the doors. Encourage them to go cool-down, visit the booths and grab a snack. 
  • Anyone who is looking like they don’t know where to go – ask them if you can help them. 
  • Wear your volunteer t-shirt and a warm jacket! Please come prepared for any weather as you will be stationed outside the building for a part of your shift 
  • If you are asked about parking, tell participants to use the hotel parking ($9 flat rate)  
gEAR CHECK
Job Description:  You are responsible for collecting and safeguarding Climbers’ jackets and belongings. This is extremely important as you will be dealing with valuables and crowds of Climbers during rush times.  
 
Duties
  • At Gear Check you will be using a ticket system to keep track of Climber’s belongings. Make sure the coat or bag is attached properly to the hanger and number.
  • At least one volunteer must remain at the Gear Check room at all times.
  • To ensure efficiency, there will be two roles: 
    • Check-in: to assign ticket to Climber 
    • Runner: to take belongings from participant and transferring them to the coat rack. Ensure that the ticket is attached securely onto the hanger/item. ***Sort items in chronological order. ***

Note: If participants ask, there are no goodie bags. Instead we have arranged for several sponsors to set up booths in the ballroom, with samples and giveaways. 
rEGISTRATION
Job Description:  As part of the registration team, you are responsible for ensuring an efficient and accurate registration process for all participants. This will include set-up, participant check-in and post-event clean up. Your job is crucial, as you will be relaying important information, handling money and other valuable items (ie. timing chips).

Please read this handbook carefully and talk with your supervisor to ensure you have full understanding of your duties!  
 
1) Set up
  • Place supplies on table including: pre-labeled envelopes, receipt books, pens, tape, mail bin, Visa/MC imprinter and slips, plastic holders, signage, and highlighter  
 
2) Check-in
  • There are two positions – registrar & helper. 
    • Registrar - You will be signing in participants and receiving the money they have raised.
    • Helper – you will be handing out timing chips & t-shirts and giving them information.  

REGISTRAR’S DUTIES
  • Ask the participants for their last name
  • Find name on the sign in sheet, verify name and highlight information
  • Check on the master sheet if climber has any prior donations and record this on his/her envelope
  • Collect the minimum $125 donation amount if it has not yet been handed in – many climbers will have surpassed the $125 already and will not have to hand in anything
  • If a climber has not yet raised the minimum amount they have to pay the outstanding amount themselves to be able to climb – ask Chris if you have any problems
  • Take money and place in the pre-labeled envelope
  • Write amount of money deposited on the master sheet, as well as on the envelope along with prior donation amounts, the climbers name and climb number. In addition, you both need to sign the envelope.
  • Do not leave your station at any time during the event
  • Pay attention to the notes beside the participant’s name  

HELPER’S DUTIES
  • Watch registrar sign in climber and put sealed envelope containing money in bin
  • Give climber their t-shirt, race number, timing chip
  • Tell climbers they can continue fundraising until March 24th, 2017
  • Tell climbers that the more money they raise the more prizes they receive
  • Tell them where they can check their gear after their climb (upstairs)
  • Remind climber of their Start Time (on your master sheet)
  • Point out breakfast and led warm up going on – suggest eating AFTER they complete their climb  
 
3) Team Information
  • Each team member must check in individually to receive their race number, timer, t-shirt, etc.
  • Each member of a team must raise the minimum of $125, check team totals  

 4) Firefighter Information
  • Each Firefighter must pay the $50 dollar registration fee  

 5) Post-Event Clean up 
  • Do not leave your money bin unguarded, wait until Chris  removes the envelopes
  • Your supervisor will instruct you on where to put the remaining supplies
  • Do not leave until the registration area has been completely cleared  
STAIRWELL MONITOR
Job Description: You will be responsible for ensuring the well-being of Climbers and offering emotional support! You will be working with a Stairwell Manager who will be supervising the stairwell. Inform them immediately if you have any concerns.  
 
Duties:
  • Your main responsibility is to cheer on the climbers!!
  • You must remain on your assigned floor throughout the event
  • Clear away any left over water cups that participants may have dropped
  • You also make sure that participants are not entering the hallways via the exit doors – SOME Doors are alarmed – they will be clearly marked.
  • If you are stationed in the Port McNeil Hallway (floor 4), you will be responsible for directing participants who emerge from the stairwell through the hallway to another flight of stairs
  • If there is a problem, medical or other, you need to contact your Stairwell Manager who will request for assistance  
 
Stairwell doors 31, 32, 38, 45 are ALARMED. Do NOT open them and please guard participants from using them. 
  • Stairwell Monitor – 7th: Walk up from 4th floor
  • Stairwell Monitor – 13th: Follow stairwell manager’s instructions 
  • Stairwell Monitor – 23rd: Follow stairwell manager’s instructions 
  • Stairwell Monitor – 26th: Follow stairwell manager’s instructions 
  • Stairwell Monitor – 31st & 32nd (alarmed): Follow stairwell manager’s instructions 
  • Stairwell Monitor – 38th and 45th (alarmed): Ride elevator to top floor 48th and walk down  
START LINE MONITOR
Job Description: You are responsible for monitoring the start line and moving Climbers through the start line arch. You are also responsible to cheer on each climber. Waves will be called and Climbers will line up before their start time. They move through the line to get their picture taken and then out again for their start. There is a 15 second interval between Climber start times.  
 
Duties:
  • Keep participants in a single line within the stanchion ropes
  • Make sure we are on the right wave (Fight & Flight, Stairclimb Only (Competitive & Non-Competitive), Firefighter
  • Do not allow participants to stand in clusters or block areas
  • CHEER participants on with pom-poms as they go!
  • Make sure the line moves efficiently and smoothly
  • Keep spectators out of the way
  • HAVE FUN!
WATER STATION MONITOR
​​Job Description: You are responsible for managing the water station and ensuring that Climbers stay hydrated throughout the event. You will be partnered up with another volunteer at your station. Make sure to cheer the Climbers on as they pass by!  
 
Duties:
  • During set up, you will arrange cups and water on your table. The tables will be pre-set by the hotel.
  • At each water station there will be a garbage can
  • Use paper towel at your station to clean up any spills (can cause people to slip)
  • Fill up cups to 1/3 for the participants to drink
  • Do not leave your station during the event
  • After the event you must clean up your station & bring all bottles, signs, and garbage bags  to the volunteer check in room
  • Each water station will be assigned a radio in order to communicate with the rest of the team regarding the status of water. If water is running low (ie. less than one jug left) let the staff or stairwell manager know immediately
